Demystifying GS1 and GDSN: The Jargon

Good news! You may not have noticed, but you have likely been embracing GS1, GDSN, and the world of standardized product information every day.

In fact, GS1 has been part of the conversation for nearly 50 years at this point. If that concept is hard to grasp, just think back to all the times you watched a cashier scan a barcode at your local grocery store.

From the first barcode scan on a pack of Wrigley’s chewing gum in 1974 to the introduction of barcodes on coupons in 1985, GS1 has long been instrumental to everyday commerce. Just check out this impressive history of milestones it has surpassed:

And there you have it—you have completed your first step to being a GS1 expert! Whether you are a traditional consumer, manufacturer, distributor, or retailer of goods, you are also a participant in GS1.

Of course, we all know the complex terminology GS1 entails can be overwhelming. Throughout our series on GS1 and GDSN, you will see these terms pop up. So we will break them down up front so they can effortlessly be part of our shared lexicon.

The cell phone analogy

Before diving into definitions, let us clear up the high-level concept: GS1 is a governing body, data pools (like Syndigo) are service providers, and GDSN is the network. It helps to think of it like a cellular network.

In order to connect to a cellular network and exchange information—such as text messages, emails, or photos, a person must work with a cellular phone company to provide that service. That network is governed by the Federal Communication Commission which sets standards, rules, and regulations with the service providers who interoperate with each other to exchange cell phone data (again, in the form of talk, text, or other forms of visual media).

Similarly, in order to connect to the GDSN, which is GS1’s network, one must work with a service provider (in this case, known as a data pool) that will adhere to the standards, rules, and regulations set by GS1.

What does it all mean?

Now that we have set the stage with the cell phone analogy, it is time to turn to the jargon. From barcode compliance to GTINs and UPCs, there is plenty to unpack.

GS1: An organization that establishes and maintains global standards for business communication, the best known of these standards being the barcode. Compliance with GS1 standards comes in several forms, including:

Data Synchronization: The process of maintaining consistency among the data exchanged between suppliers, distributors and recipients.

GS1 Certified Data Pool: A company that provides software and services, generally in the data management space, that is also certified by GS1 to enable its clients to send or receive data via the Global Data Synchronization Network (GDSN).

GDSN: A network of interconnected service providers, called data pools, that enable trading partners to exchange product data in standardized format that aligns with and is governed by GS1.

GLN (Global Location Number): A unique identifier for a company’s locations, such as business locations, manufacturing plants, shipping locations, or receiving locations.

GTIN (Global Trade Item Number): A 14-digit globally unique identifier formatted to GS1 standards that is assigned to uniquely identify products across the supply chain.

UPC (Universal Product Code): The oldest and most popular of GTINs, the UPC is a 12-digit code that generally identifies the lowest-level consumable/purchasable unit of a product.

Barcode: A symbolic representation of a GS1 standard GTIN or UPC that is generally printed on packaging or other places for the purpose of scanning and identifying products across the supply chain.

And a couple of key concepts…

Many people find themselves discussing GS1 and their compliance. Are you GS1 compliant? Maybe! But the question itself can be misleading. Being compliant is relative to which requirements or standards you are trying to comply with. Here are a few examples:

  • GTIN and UPC compliance: Being compliant here is relatively simple. You register your organization with GS1 and they immediately assign you a unique number called a prefix. That prefix uniquely identifies your company, much like a Social Security number. It is also the numerical base for what will become your Global Location Numbers (GLNs, 13 digits), Global Trade Item Numbers (GTINs, 14 digits), and Universal Product Codes (UPCs, 12 digits).
  • Barcode compliance: The barcode is GS1’s most famous standard, a symbol that is clearly printed on a product and can be scanned electronically. This means if there is a unique identifier (a UPC or a GTIN) assigned to a product, it must be represented as a barcode on the packaging so that when the barcode is scanned when the product is received, transported, or sold, compliance with GS1’s standards for uniquely identifying products has been achieved. There are many types of barcodes, such as the UPC/EAN, GS1 DataBar, and GS1-128 or ITF-14.
  • Trading partner compliance:  Here is the big one! Trading partners have to agree on requirement sets. For example, what’s important (ultimately required) for a foodservice distributor is going to be different than what a brick-and-mortar retailer may request. Similarly, the compliance measures for healthcare data requirements will look very different from the other two. GS1 has established industry workgroups to guide those trading partners to align on what is most important to them.

Q: What is a data pool?

This improves speed and reduces confusion based on formatting differences or the way information is provided.[/vc_column_text][vc_empty_space height=”26px”][vc_column_text]Wikipedia says that a data pool is a “Gateway to access the GDSN” – a group of solution providers and trading partners (such as food distributors and foodservice operators) who share data in a common and understood way.[/vc_column_text][vc_empty_space][/vc_column][/vc_row][vc_row row_content_width=”grid”][vc_column]

Q: What information do data pools use?

[vc_empty_space height=”26px”][vc_column_text]A: The most basic piece of information exchanged in a typical data pool is the Global Trade Item Number (GTIN) and possibly Global Location Number (GLN). The GTIN refers to the specific item, such as a bottle of shampoo or pair of blue jeans. If you need a barcode to sell your items in-store or online, the GTIN is an important concept to understand. GTIN: Global Item Trade Number
[vc_empty_space height=”26px”][vc_column_text]With all the products being launched every year – more than 30,000 annually, according to Nielsen – it is hard to keep track of all the brand names, line extensions, item descriptions, label information and the other content that goes with it. Supplier brands and retail outlets need to identify, measure and track these items with a unique code identifier. For consumer goods, this is the Global Trade Item Number (GTIN). In North America, the U.P.C. bar code represents the GTIN.[/vc_column_text][vc_empty_space height=”26px”][vc_column_text]

Thankfully, it’s easy to obtain a GTIN for your product. There are just a few steps you’ll need to take.[/vc_column_text][vc_empty_space height=”26px”][vc_column_text]If you don’t have a company prefix, you can apply for one through GS1, the coding standards body (for more information on GS1 or how to apply, please visit https://syndigo.com/gs1-cip/). This number is the manufacturer ID portion on GTINs and barcodes. In addition to the company prefix, you will need to create a unique product number for each item you want to sell. 1. Data is becoming more plentiful, more complex, and more necessary.

The conference featured more than 1,200 attendees and literally hundreds of educational sessions, plus industry speakers from companies as diverse as foodservice, healthcare, grocery and trucking. The types of information needed to manage businesses, from supply chain, through virtual eCommerce shelf, has only grown more important for businesses to run efficiently. The exhibit hall was lively, and the Syndigo team was busy answering many questions on our Content Experience Hub and how we have integrated our solution sets with a single platform. Which brings us to reflection #2 from the conference…[/vc_column_text][/vc_column][vc_column css_animation=”none” width=”1/2″][vc_empty_space height=”10″][vc_column_text]

2. Integration continues to be a pain point.

This issue was obvious from the many suppliers and recipients we talked with. The fact is, that in many organizations the different departments needing product content are disparate and not always well-connected. Whether eCommerce, in store, Master Data or Operations, the uses for data are different even as they refer to the same product or item attributes. What’s the Difference Between Data Pools?

If you’re a small supplier, you may be able to sell directly from a single website. But as soon as you decide to place your product on eCommerce marketplaces, retailer digital sites (like Amazon.com, Walmart.com or Jet.com), or in physical store locations, you need to be able to submit your product data to feed the retailer systems. And they have their own requirements for the way you present your data.[/vc_column_text][vc_empty_space height=”20px”][vc_column_text]This is important because retailers (often called recipients, as the data is sent to them) need to manage all the products coming in to their warehouses, including the space required, the time products can be stored before spoiling, and additional storage requirements (like freezing or keeping away from moisture).[/vc_column_text][vc_empty_space height=”20px”][vc_column_text]From the retailer side, they are taking in hundreds of thousands – if not millions – of different products to flow through their supply chain. Since they must manage inventory while ensuring quality and accuracy, most have adopted the standards of the Global Data Syndication Network (GDSN), with other suppliers and data recipients. What’s a ‘data pool’… and what’s the difference?

On the surface it might appear that one data pool is as good as the next. However, there are three good reasons to consider alternative data pools.[/vc_column_text][vc_empty_space][vc_column_text]

Here are a few key differences:

  1. Pricing – Providers may charge based on item overall revenue, or on how many recipients receive data, or on the number of active SKUs in the GDSN. Providers may also charge a premium for customer service if it is not included in the base price. We at Syndigo believe the best approach is to price based on the number of active SKUs, with volume discounts for larger number of SKUs processed.
  2. Customer Service – this is often overlooked for data submission, but some providers will charge extra for support, or only provide limited support. For something as important as ensuring your data is processed accurately, having direct access to your support team is critical. Of course, customer service is always included as part of our service at Syndigo.
  3. Data Input/Output –There can be a difference in the way data pools submit your information. Some may simply upload your information to the GDSN as-is, without any quality checks. Some may also require you to do all the item coding before sending them the data. Because it is so important to ensure your data is correct, your data pool should validate your data for accuracy and completeness, and notify you when there are discrepancies that need correcting.

3. BARCODE SYMBOLOGY DOES NOT MATCH

2. MODEL NUMBER DOES NOT MATCH

The Global Location Number (GLN) gives companies the flexibility to identify their locations.
